Microsoft Surface devices present a compelling option for businesses seeking to optimise their total cost of ownership (TCO).

Research from analyst firm IDC illuminates the cost savings and productivity enhancements associated with Surface devices when paired with Microsoft 365, surpassing the initial price differences compared to traditional PC devices.

Upfront cost

Surface devices come with a higher price compared to some of their competitors. However, several factors come into play to offset this perceived barrier.

The versatile 2-in-1 functionality of Surface devices allows them to replace multiple devices such as desktops, laptops, and tablets.

IDC research shows that 44% of organisations using Surface consolidated an average of 2.32 devices per Surface device purchased, leading to significant cost reductions.

Businesses also save on the cost of accessories due to the high-quality built-in cameras, speakers, and microphones in Surface devices, minimising the need for external peripherals.

Over 63% of organisations in the IDC survey reported needing fewer peripherals, leading to an average saving of $190 per device over three years.

Additionally, businesses experience better residual value retention with Surface devices compared to other PC alternatives, translating into tangible savings over time.

Microsoft 365 integration

Looking beyond the direct cost savings, Surface devices coupled with Microsoft 365 offer substantial benefits in terms of IT efficiency.

Features like Microsoft AutoPilot streamline device deployment processes, reducing the workload on IT staff.

Automated patching and updates through Intune Management facilitate efficient device maintenance, enhancing overall productivity.

Enhanced security features such as Secure Boot and automated firmware updates bolster data protection, reducing the risk of cybersecurity incidents.

Surface devices also generate 49% fewer helpdesk tickets compared to traditional PCs according to the IDC study, allowing IT staff to allocate their time more effectively.

Employees equipped with Surface devices report higher satisfaction levels and are more likely to remain with their organisations, contributing to a positive work environment.

In conclusion, the upfront cost of Microsoft Surface devices may raise initial concerns, the long-term benefits in terms of cost savings, IT efficiencies, and productivity gains are undeniable.

IDC found that businesses embracing Surface unlock significant cost savings, IT efficiencies, and productivity gains, ultimately driving a 2.8x return on investment over three years.

Businesses that integrate Surface devices stand to gain from a modern, secure, and efficient work environment that can drive long-term success.

IDC study - Evaluating the Business Case of Microsoft Surface

The IDC study was conducted between December 2021 and February 2022 and involved 817 organisations across multiple continents, industry verticals, and the public sector.

The research comprised two components, a web-based survey and 17 in-depth interviews.

17 in-depth interviews were conducted with senior IT decision-makers at organisations utilising Surface devices. These interviews, lasting approximately 45–60 minutes each, aimed to gain a detailed understanding of the selection criteria for Surface, primary use cases, and the achieved cost, staff, and employee experience gains.

A web-based survey, taking roughly 15 minutes to complete, gathered data from 800 organisations. This included 700 organisations actively using at least 150 Surface Laptops and 2-in-1 Tablets launched since 2019, alongside 100 organisations not currently utilising Surface devices. The survey included responses from IT decision-makers, line-of-business personnel, and procurement professionals.
